Role Description

This is a full-time remote position for an Event Planner. In this role, the Event Planner will be responsible for coordinating and managing all aspects of events, including planning and logistics, budgeting and cost tracking, and managing vendor relationships. Daily tasks include liaising with clients to align on event requirements, overseeing event schedules, and ensuring smooth execution. Collaboration with sales teams and other stakeholders will be essential to ensure events meet goals and objectives while delivering exceptional experiences for attendees.

Qualifications

• Provide end‑to‑end event logistics and operations support for 4–5 large conferences annually.

• Manage tactical event execution, including supplier coordination and cross‑functional workstream oversight.

• Manage event processes, including workback plans, action items, production timelines, agendas, space allocation, and scheduling.

• Lead and facilitate planning meetings, preparing agendas, securing resources, developing PPT materials, and documenting decisions and next steps.

• Oversee daily, hands‑on management of logistics, content, and expo workstreams, building project‑management proficiency in partnership with Event Managers.

• Determine and manage optimal onsite or hybrid delivery, including content flow, room sets, floorplans, space planning, and all A/V, electrical, internet, and venue requirements across up to five conferences.

• Measure, analyze, and report post‑event results, synthesizing evaluations, attendance data, and feedback into clear, actionable summaries for stakeholders.

• Partner with vendor and stakeholder teams to ensure all deliverables are completed accurately and on schedule.

• Develop and execute event staffing plans, managing staffing tools, schedules, and communications for executives and suppliers.

• PM high level meetings, presenting information clearly, professionally, and in ways that drive alignment and project momentum.

• Manage and maintain the event support email, ensuring timely, professional correspondence with clients and attendees.

• Draft clear, informative, and action‑oriented communications for speakers and executives.

• Manage all speaker logistics, ensuring presenters are fully supported through precise, timely communications.

Requirements:

• 5 years of Logistics & Scheduling: Managing event timelines, venue booking, and on-site coordination.

• 5 years of Vendor Management: Negotiating contracts and managing external suppliers.

• Ability to manage Risk & Contingency: Creating backup plans for unexpected issues.

• Ability Communication Effectively: Interacting with stakeholders, marketing, and attendees.

• PMP Certification a Plus

• Prefer this person is located in Las Vegas
