Key Responsibilities include:
• Facility and Operations Management:
• Oversee the daily facility operations of the Bengaluru office to ensure a smooth, efficient, and safe work environment.
• Manage and coordinate essential services including housekeeping, security, maintenance (M&E), and parking.
• Conduct regular walkthroughs of the facility to ensure operational readiness and address any issues promptly.
• Ensure the office is always presentable, well-stocked, and prepared for employees and visitors.
• Employee Transport Services:
• Manage and oversee end-to-end employee transport operations, ensuring safe, timely, and efficient commuting solutions.
• Coordinate with transport vendors for route planning, vehicle compliance, and optimal service delivery.
• Address and resolve any transport-related escalations or employee feedback promptly while ensuring strict adherence to safety regulations.
• Stakeholder and Employee Support:
• Proactively engage with upstream leadership and peer stakeholders across various business units to align facility and operational services with broader organizational needs.
• Act as the primary point of contact for employees regarding any facility or transport-related requests.
• Collaborate seamlessly with internal stakeholders such as Sales, Customer Experience, HR, IT, and Finance to syndicate and implement organizational and functional initiatives.
• Support cross-functional processes like new employee onboarding, inductions, and access card activation.
• Workplace Experience and Events:
• Plan and support the coordination and execution of internal office events and employee engagement activities.
• Manage catering services for daily operations and special events, ensuring quality and variety.
• Handle internal communications for facility-related announcements and updates.
• Vendor, Budgets and Contract Management:
• Own the FM services and REFM led event budgets from planning to forecasting and spend controls.
• Various administrative tasks, e.g. raise PRs, program manage changes, process invoices, maintain MIS of services etc.
• Manage relationships with external vendors and service providers (e.g., Landlords, property managers, transport vendors, office suppliers, sub-contractors).
• Monitor vendor performance to ensure services are delivered according to contractual agreements, SLAs, and quality standards.
• Assist with the procurement of office supplies and services, including raising purchase requisitions and processing invoices.
• Compliance and Reporting:
• Ensure the facility and transport operations fully comply with Health, Safety, and Environment (HSE) regulations and company policies.
• Support internal and external audits by providing necessary documentation and operational support.
• Maintain records, logs, and Management Information Systems (MIS) for all facility and transport services.
• Requirements
• Bachelors degree (full time) from recognized college.
• 5+ years of proven experience in hands-on facilities management and workplace operations.
• Must include at least 3 years of experience managing employee transport operations and at least 3 years of core facility operations experience.
• Solid understanding of facility operations, vendor management, and workplace services.
• Good knowledge of local regulations related to Health & Safety (HSE), establishment compliance, and transport compliance.
• Proven ability to influence and manage relationships with upstream leaders, peer teams, external vendors, and service providers.
• Strong coordination and organizational skills with the ability to manage multiple tasks effectively.
• Team Player with collaborative work mindset.
• Excellent communication and interpersonal skills.
• A proactive, hands-on, and solution-oriented mindset with keen attention to detail.
• Proficiency in MS Office applications.
• Proficient in MS office, Teams etc.
• Experience in the technology or telecommunications industry is a plus.
