Personal Assistant to the CEO

Location: Remote

Start preference: Only apply if you're ready to join immediately or within 30 days

Overlap Required: Minimum 6 hours with US time zones

Compensation: $1,000 – $4,000/month (based on experience and interview process)

About the role:

This is not a traditional PA role.

You will operate as a personal operator for the CEO, owning real-life logistics end-to-end, especially around travel, lifestyle, and high-priority personal matters.

A big part of your role will involve handling complex, non-standard situations, including international travel with a large dog (70kg), sourcing specialized services globally, and solving problems that don’t have clear instructions or obvious solutions.

If your default is to research and summarize - this role is not for you.
If your default is to act, push, and get things done no matter what - keep reading.

What you'll own:

Travel & Logistics
Plan and execute complex international travel end-to-end, including ensuring the CEO travels with his dog in-cabin whenever possible. Handle routing, documentation, and last-minute changes.

Dog Operations
Own everything related to the dog’s care and logistics — sourcing high-quality nutrition, coordinating specialized veterinary services, and ensuring seamless travel and well-being.

Vendor Sourcing & Negotiation
Find, contact, and negotiate with vendors globally. Push for complete information (pricing, timelines, logistics) and drive to a clear outcome.

Execution & Problem Solving
Handle ambiguous, time-sensitive tasks with minimal instruction. Move fast, follow up, and resolve issues end-to-end.

Information Management
Maintain a centralized system of key information, contacts, and preferences to keep everything organized and accessible.

How you work:

• You don’t stop at “here are 3 options”

• You push until there is a clear answer and next step

• You call, message, follow up, escalate — not just email

• You filter information — only what matters gets through

• You think in outcomes: cost, feasibility, recommendation

What we're looking for:

• 5+ years supporting a founder/CEO or handling high-responsibility personal operations

• Proven ability to operate in chaotic, fast-moving environments

• Extremely resourceful — you find ways where others stop

• Strong ownership mindset — you don’t wait, you act

• High attention to detail — accuracy matters

• Clear, concise communication — no unnecessary information

• Comfortable handling sensitive and personal matters

What will NOT work in this role:

• Waiting for detailed instructions

• Sending links without conclusions

• Avoiding calls or direct outreach

• Getting stuck when information is incomplete

• Overloading with unnecessary details instead of simplifying

What sets you apart:

• You’ve solved “impossible” problems before

• You are persistent — you follow through until it’s done

• You move fast and stay calm under pressure

• You think like an owner, not an assistant

This role is for someone who wants:

• More than a typical assistant position

• Real ownership and responsibility

• Exposure to high-stakes, real-world execution

You’ll learn fast, be challenged daily, and operate in situations most people never experience.

If you’re the type of person who takes ownership, pushes through obstacles, and finds a way — we want to hear from you!
