As a receptionist for Iberia you will manage the reception at Align Technology. This is a dynamic role that daily interfaces with 400+ people in the office and a number of employees working in the field across Spain and Portugal. You will report to the office manager.
This is a 3 months contract.
Role expectations
• Manage the reception (handle incoming , emails, doorbell, welcoming visitors)
• Support visitors and forward them to their contacts. Ensure the best customer experience. Follow the protocol for visits applied to each case
• Handle incoming/outgoing post and packages; sorting and distributing mail. Registered/trackable mail (with return confirmation to dept)
• Assist departments with outgoing photocopies as well as material for events; preparation of activities, documentation…
• Ensure office machines are fulfilled with paper/toner, refills, etc. Canteens are fulfilled with coffee, sugar, tea, etc. and ensure to purchase refilling in time
• Keep office material inventory and purchase office supplies accordingly (post, stationary, etc)
• Ensure all the new hires receive the office material needed
• Ensure meeting rooms are always ready, with the necessary material in place (pens, markers, papers…). Meeting rooms reservation “on behalf of”
• Supply long-term visitors and employees with access badges. Support both the Office Manager and Facility Coordinator when needed
• Keep the office key inventory and distribution log
• Order and manage food supply for both internal and external meetings as well as events
• Ensure cleanliness of common spaces (breakout area, fridge, coffee machine, mailing room, conference rooms, corridors, etc.) and notify when there is a call to action
What we're looking for
• 2 years experience in similar role
• Excellent Spanish and English Communication skills
• To be customer focused
• Good collaboration skills and desire to work in an international environment
