Avidian Wealth Solutions is seeking a polished, highly organized, and proactive Sr. Administrative Associate to join our Operations team in Houston. This role is a key operational position responsible for supporting the client experience, maintaining a high-functioning office environment, coordinating administrative processes, and ensuring day-to-day office operations are executed with consistency, professionalism, and attention to detail.
The ideal candidate is service-oriented, detail-driven, and thrives in a fast-paced professional environment. This individual will serve as a reliable point of contact for clients, visitors, vendors, and internal team members, ensuring that nothing falls through the cracks.
Key ResponsibilitiesClient Experience & Front Desk Leadership
• Serve as the first impression of the firm for clients, visitors, and team members
• Maintain a professional, welcoming, and polished office environment at all times
• Manage incoming calls, visitors, and front desk activity with accuracy and professionalism
• Ensure client-facing spaces are clean, stocked, organized, and client-ready
Office Operations & Environment Management
• Maintain a highly organized, efficient, and fully functional office environment
• Coordinate with building management and vendors to resolve maintenance or facilities issues
• Oversee shared spaces, conference rooms, kitchen areas, and general office presentation
• Support consistency in office operations across firm locations
Vendor, Supply & Multi-Office Coordination
• Manage office supply inventory and ordering for the primary office
• Coordinate across Avidian office locations to ensure supply consistency
• Establish and maintain standardized supply processes across offices
• Manage vendor relationships and identify opportunities for cost savings and efficiency
Administrative & Operational Support
• Coordinate meeting logistics, including scheduling, room setup, catering, and related support
• Respond to internal requests promptly and ensure full follow-through to completion
• Track tasks and requests to ensure clear ownership, next steps, and resolution timelines
• Provide proactive updates to internal stakeholders without requiring prompting
Process Improvement & Team Support
• Identify opportunities to improve administrative processes and office operations
• Support consistency and efficiency across teams and office locations
• Contribute to a positive, collaborative, and solutions-oriented team environment

Qualifications
• Prior experience in an administrative, office management, operations, receptionist, client service, or executive support role
• Strong organizational skills and attention to detail
• Excellent verbal and written communication skills

• Ability to manage multiple priorities and follow through to completion
• Proactive, solutions-oriented approach to problem solving
• Comfortable coordinating with vendors, building management, internal teams, and leadership
• Strong sense of ownership, accountability, and discretion
• Proficiency with Microsoft Office and general business technology

• Base salary, Eligible for 10% Annual Bonus

Work Structure
This is a full-time, in-office position based in Houston, Texas. Occasional coordination with or travel to other office locations may be required.
