Role Summary
We are looking for a highly organized, proactive Executive Assistant to
provide comprehensive administrative and operational support to senior
leadership. This role is focused on enabling executives to operate at maximum
effectiveness by managing calendars, communications, logistics and day-to-day
execution with precision, discretion, and sound judgment. The ideal candidate
is detail-oriented, anticipatory, and thrives in a fast-paced environment. You
are comfortable activating as a gatekeeper, a thought partner on prioritization
and a reliable executor who ensures nothing falls through the cracks.
Key Responsibilities
Executive & Administrative Support
● Manage complex and dynamic calendars for senior executives, including
scheduling across time zones and prioritizing competing demands.
● Coordinate internal and external meetings, including preparation of
agendas, materials, and follow-ups.
● Serve as a primary point of contact for executive communications,
handling inquiries with professionalism and discretion.
● Manage travel planning and logistics, including itineraries,
accommodations, and expense coordination.
● Support preparation for board meetings, leadership meetings, and key
external engagements
Communication & Information Management
● Draft, edit, and organize executive communications, presentations, and
internal documents as needed.
● Track action items and decisions from meetings, ensuring timely
follow-up and closure.
● Maintain organized systems for files, documents, and executive
reference materials.
● Help manage information flow to and from executives, ensuring clarity,
prioritization, and alignment.
Operational & Personal Effectiveness Support
● Anticipate executive needs by understanding priorities, working styles,
and preferences.
● Act as a gatekeeper, helping protect executive time and focus.
● Coordinate logistics for executive-led events, offsites, and leadership
meetings.
● Handle sensitive and confidential information with the highest level of
professionalism and integrity.
Program Coordination
● Assist with planning and execution of internal GTM-related events,
including Regional Summits, leadership offsites, internal workshops, and
enablement sessions.
● Partner with stakeholders across Sales, Marketing, RevOps, Customer
Success organization, and People teams to support ad hoc reporting needs and
special cross-functional projects.
Skills and Expertise Required
● Tech-savvy and accustomed to using applications for collaboration and AI
● Proven ability to manage complex calendars, logistics, and competing
priorities with calm efficiency.
● Exceptional organizational and time-management skills, with meticulous
attention to detail.
● Strong written and verbal communication skills; able to represent
executives professionally and clearly.
● High emotional intelligence and sound judgment when interacting with
internal and external stakeholders.
● Absolute discretion and trustworthiness in handling confidential
information.
● Proficiency with productivity and collaboration tools (e.g., Google
Workspace or Microsoft Office, Slack, calendar tools).
● Ability to work independently, anticipate needs, and adapt quickly in a
fast-paced environment.
● Comfort operating in a hybrid or remote work environment across time
zones.
Compensation
Annual base salary $90,000 USD, plus a performance pay bonus of $10,000. In
accordance with local pay transparency laws, this reflects the expected target
compensation range for this role in the United States. Actual compensation
within the range will be determined based on job-related factors such as
skills, experience, training, and location.
